Microsoft 365 has become the go-to productivity platform for businesses in Pakistan, replacing local Exchange servers and shared drives with cloud-based email, file storage, and collaboration tools. Here is how we set it up for our clients.
Step 1: Choose the Right Plan
For most small businesses in Pakistan:
- Microsoft 365 Business Basic (~$6/user/month): Web-only Office apps, Exchange email (50GB mailbox), Teams, SharePoint, OneDrive. Good for staff who primarily work in a browser.
- Microsoft 365 Business Standard (~$12.50/user/month): Adds desktop versions of Word, Excel, PowerPoint, and Outlook. Recommended for anyone doing serious document work.
- Microsoft 365 Business Premium (~$22/user/month): Adds Intune (device management) and Defender for Business. Recommended if you have 20+ staff or handle sensitive data.
Step 2: Set Up Your Custom Domain
Once you purchase M365, add your company domain (e.g. yourcompany.com.pk). This involves:
1. Adding the domain in the Microsoft 365 Admin Centre
2. Updating your domain's DNS records (MX, SPF, DKIM, DMARC) through your domain registrar (PKNIC for .pk domains)
This ensures email sent to yourname@yourcompany.com arrives in M365, not an old server.
Step 3: Migrate Existing Email
If you have existing emails on a local server, cPanel hosting, or Gmail, we migrate them using Microsoft's built-in migration tools or third-party tools like BitTitan. We plan migrations over a weekend to minimise disruption.
Step 4: Set Up Microsoft Teams
Teams replaces WhatsApp group chats for internal business communication. We:
- Create channels for departments (Accounts, Operations, Sales)
- Configure Teams meetings for video calls
- Connect Teams to your SharePoint document libraries
Step 5: Configure OneDrive & SharePoint
- OneDrive: Each user gets 1TB personal cloud storage, synced to their laptop
- SharePoint: Set up a shared company document library that all staff can access — replacing a local NAS or file server
Step 6: Deploy Apps on Devices
For Business Standard/Premium users, we install the Microsoft 365 apps (Outlook, Word, Excel) on each PC and configure Outlook to connect to the Exchange mailbox.
